Privacy Policy

Personal Information Protection Policy

Teraoka Seisakusho Co., Ltd. (hereinafter referred to "Teraoka") considers respect for the individual's personality and compliance with laws and regulations concerning the protection of personal information to be its social responsibility, and has established the following privacy policy to protect personal information in an appropriate manner.

Basic Policy

  1. Teraoka shall comply with the Act on the Protection of Personal Information (Act No. 57 of 2003, hereinafter referred to as the “Personal Information Protection Act”), the Basic Policy on the Protection of Personal Information, and other related laws and regulations, and will steadily comply with the “Provisions of the Handling of Specific Personal Information” formulated by Teraoka.
  2. Teraoka has established a management system for the protection of personal information, and will ensure that the spirit of the Act and the Provisions of the Handling of Specific Personal Information are thoroughly known by all officers and employees, and that they are strictly enforced.
  3. Teraoka will handle personal information only within the scope of the purposes of the consent of the customers. Teraoka will not disclose or provide personal information to any third party without the consent of the customer or a legitimate reason, such as when disclosure is required by law.
  4. Teraoka will continue to develop our personal information protection management and systems in response to changes in the social environment and social conditions.

Purpose of use of personal information

  1. Teraoka will use personal information only to the range of the purpose of use that Teraoka has received consent from our customers.
  2. The main purposes of use of the aforementioned personal information are as described below.
    1. Personal information related to customers
      • Matters related to products, delivery, service, and support
      • Matters related to inquiries, consultations, and various events
      • Matters related to product development and monitoring
      • Matters related to business negotiations, contracts, and meetings
    2. Personal information concerning shareholders
      • Matters related to shareholders data management in accordance with laws and regulations
      • Matters related to the exercise of rights and the performance of obligations under the Commercial Code, the Companies Act, and other related laws and regulations at shareholders’ meetings
      • Other matters related to various systems
    3. Personal information of officers and employees of our business partners and other companies with which Teraoka has a relationship
      • Contact information, etc. necessary for the performance of the work
      • Matters related to general administrative processing including our accounting, general affairs, human resources, sales, purchasing, information systems, and production divisions, etc.
    4. Personal information concerning applicants for recruitment
      • Matters related to the provision of recruitment information to applicants
      • Matters related to recruitment and personnel affairs at Teraoka
    5. Personal information concerning employees of government and municipal offices, etc.
      • Matters related to communication, reporting, and consultation required for administrative procedures, etc.

Provision of Personal Information

  1. Teraoka will not disclose or provide customers’ personal information to third parties except for the following reasons.
    1. When Teraoka has obtained the consent of the customer
    2. When handling personal information in accordance with laws and regulations
    3. When it is necessary for the protection of life, body, or property, and it is difficult to obtain the consent of the person in question.
    4. When personal data is transferred due to business succession including merger, spin-off, or transfer of business, etc.
    5. When the provision of personal information is required by law
    6. When it is necessary to cooperate with national or local governments in the execution of their legally mandated duties, and obtaining the consent of the customer may impede the execution of such duties.
  2. In accordance with Article 27, Paragraph 2 of the Personal Information Protect Act, when the provision of personal information to a third party in which the individual concerned is identified is to be stopped at the request of the individual, and when the following items are notified to the individual or made readily available to the individual and reported to the Personal Information Protection Commission, in advance, Teraoka may provide such personal information to a third party, notwithstanding the provisions of the preceding paragraph.
    1. The name, address, and representative of Teraoka
    2. Purpose of use of the personal information to be provided to a third party
    3. Items of personal information to be provided to a third party
    4. Method of obtaining the personal information provided to a third party
    5. Method of providing the personal information to a third party
    6. Cessation of provision to a third party of personal information that identifies the person in question at the request of the person in question
    7. Method of accepting the person’s request
    8. Method of updating personal information provided to a third party
    9. Scheduled date of commencement of provision of personal data pertaining to said notification to a third party

Management of subcontractors

In order to comply with the purpose and scope of use of personal information obtained from customers, etc., Teraoka will require our subcontractors to manage personal information as strictly as Teraoka does when disclosing personal information to them and will exercise appropriate supervision over them.

Information Security

Teraoka is committed to improving information security to prevent leakage, loss, falsification, etc. of customers’ personal information and to prevent unauthorized access to such personal information.

Employee Training and Awareness-raising Activities

Teraoka will strive to educate and enlighten all officers and employees to handle personal information of customers, etc. with the utmost care and in an appropriate manner.

Policy on Disclosure and Amendment, etc. of Personal Information

When a customer requests the disclosure or amendment of his/her personal information, or when a customer requests the cessation of disclosure or provision of his/her personal information to a third party, Teraoka will respond to the customer’s request after confirming the identity of the customer.
