About personal information

Believing that it is a societal responsibility to respect individuality and comply with the law of protecting personal information, Teraoka Seisakusho Co., Ltd (the Company) establishes its Personal Information Protection Policy as follows and strives to appropriately protect personal information.

1. Basic Policy

The Company observes the “Personal Information Protection Law (Japan Law No.57, 2003)” and other relevant laws and standards and closely follows our own “Regulation of Personal Information Handling ” to achieve continuous improvement.
(2)
The Company has established a management system to protect personal information and will exercise strict management by making executives and employees thoroughly aware of the spirit of the law and our regulations.
(3)
The Company only uses personal information within the scope agreed upon by the client. It does not disclose or supply such information to any third party unless there is written agreement with the parties involved or request of information disclosure by laws and ordinances.
(4)
The Company continuously develops new approaches and protocols to further protect personal information in response to changes in the social environment and the situation.

2. Purpose of use of personal information

The Company only uses personal information within the scope agreed upon by the client.
(2)
Personal information is used in the following ways.
 1) Personal information related to clients
-Products, deliveries, services, and support
-Inquires, consultation, and events
-Product development and requests for monitoring
-Business communications, contracts, and meetings
 2) Personal information related to shareholders
-Shareholder data management under applicable laws and ordinances
-Enforcement of rights or fulfillment of obligations under the provisions of the Commercial Code, Corporate Law regarding shareholders’meetings
-Shareholder special benefit plans and other related systems
 3) Personal information on executives and employees of business partners and other enterprises related to the Company.
-Messages and other correspondence needed to conduct business
-General paperwork, including accounting, general affairs, purchases, and other operations
 4) Personal information on applicants for recruitment
-Supply of employment information to applicants
-Employment and personal management affairs in the Company
 5) Personal information on government and municipal office staff
-Liaisons, reports, and consultation needed for administrative procedures

3. Distribution of Personal Information

The Company does not disclose or supply personal information of clients to any third party except in the following cases:

(1)
When the Company has obtained permission from the client;
(2)
When the Company handles personal information in accordance with applicable laws;
(3)
When it is necessary for the protection of the life, body or properties of clients, but it is rather difficult to obtain the agreement thereof; and
(4)
When personal information is transferred in the case of business continuation as a result of a merger, split-up, or business transfer

4. Management of Subcontractors

When personal information is disclosed to a subcontractor, the Company makes appropriate supervision of clients’ personal information by obligating the subcontractor to keep such data in the same severe degree of privacy as the Company maintains so that the purposes and scope of use of the data may be observed.

5. Information Security

The Company constantly endeavors to improve its information security system to protect client information from leakage, loss, and falsification, and to prevent illegal access.

6. Professional Training and education for Employees

The Company endeavors to educate executives and employees to handle clients’ personal information with the utmost care.

7. Policies concerning disclosure and revision of personal information

When a client personally requests his/her information to be disclosed to him/her, or revised, or when they desire the information not to be disclosed or supplied to a third party, the Company takes proper measures after identifying the individual making the request.
